1. Booking Terms
Reservations & Payments
All bookings are subject to availability and these terms:
- A deposit of 25% is required to confirm most reservations
- Full payment is due 30 days before departure (45 days for international tours)
- We accept major credit cards, bank transfers, and UPI payments
- Prices are subject to change until full payment is received
Important: Some airlines and hotels may require full payment at time of booking. We will notify you if this applies to your reservation.
Cancellation Policy
Cancellation fees apply based on when notice is received:
- More than 30 days before departure: 10% of total cost
- 15-30 days before departure: 25% of total cost
- 7-14 days before departure: 50% of total cost
- Less than 7 days before departure: 100% of total cost
2. Hotel Booking Policy
- The primary guest must be at least 18 years old to be able to check into this hotel.
- Token amount will be non-refundable.
- Base category rooms will be provided in every package category.
- The rates are subject to change without any prior notice.
- Accommodation in the itinerary at the mentioned hotels or the similar hotels.
- The confirmation is subject to availability.
- In case of vehicles not going to Rohtang Pass by any kind of new guidelines proposed by NGT-National green tribunal /Supreme court of India Shaina Travels will not be responsible in any case. If vehicles will be allowed to go to Rohtang pass the guest will have to bear the expenses on his own if he/she wishes to go to Rohtang pass.
- Photo ID-It is mandatory for guests to present valid photo identification at the time of check-in. (Exclude PAN Card)
- The hotel reserves the right of admission to the aforesaid reason.
- Hotels may charge a mandatory meal surcharge on festive periods e.g. Christmas, New Year's Eve etc. All additional charges (including mandatory meal surcharges) need to be cleared directly at the hotel.
- Milk/Food for infants or children below 5 years is directly chargeable at a hotel.
- No refund will be made for any unused accommodation, missed meals, transportation segments, sightseeing tours or any other service due to Bad weather, ill health, Strike, Road Blocks or any other factor beyond our Control. Such unused items are neither refundable nor exchangeable.
Amendments / Cancellations
- 25% Cancellation charged of the Total package cost once you booked your package.
- 35% Cancellation charged of the Total package cost before 30 days of the traveling date.
- 50% Cancellation charged of the Total package cost before 15 days of the traveling date.
- No refund before 10 days of the travel date.
- Also Note that all cancellations must be interacted in writing.
If you prepone and postpone your package, INR. 3000 or 10% of total package cost Whichever is higher will be charged and it will be required to inform us in writing 15 days before your travel date.
3. Travel Documents
It is your responsibility to ensure you have proper documentation:
- Valid passport with at least 6 months validity for international travel
- Required visas for your destination(s)
- Vaccination certificates if required
- Travel insurance documents
4. Changes by Us
While we endeavor to operate all tours as advertised, we reserve the right to:
- Change itineraries due to circumstances beyond our control
- Substitute hotels of similar standard when necessary
- Alter transportation arrangements
Force Majeure
We are not liable for failure to perform our obligations due to:
- Natural disasters
- Acts of war or terrorism
- Government restrictions
- Pandemics or health emergencies
- Other events beyond our reasonable control
5. Travel Insurance
We strongly recommend comprehensive travel insurance covering:
- Trip cancellation and interruption
- Medical expenses and emergency evacuation
- Baggage loss or delay
- Personal liability
Note: Some destinations require proof of travel insurance for entry. Check requirements for your specific itinerary.
6. Liability Limitations
Shaina Travels acts as an intermediary between you and travel service providers:
- We are not liable for acts or omissions of third-party suppliers
- Our liability is limited to the amount paid for the travel services
- We are not responsible for consequential or incidental damages
Health & Safety
You are responsible for:
- Ensuring you are medically fit to travel
- Following all health and safety guidelines
- Complying with local laws and customs
7. Special Requests
While we will endeavor to accommodate special requests:
- Dietary requirements should be advised at time of booking
- Room preferences cannot be guaranteed
- Accessibility needs should be confirmed in advance
Group Bookings
Additional terms apply for groups of 10+ travelers:
- Higher deposit requirements (typically 50%)
- Stricter cancellation policies
- Rooming lists required 45 days before departure
8. Dispute Resolution
Any disputes shall be resolved as follows:
- First attempt resolution through good faith negotiations
- If unresolved, mediation through the Indian Association of Tour Operators
- As a last resort, legal proceedings in Kullu courts, Himachal Pradesh
Governing Law
These terms are governed by Indian law. Any disputes will be subject to the exclusive jurisdiction of the courts of India.

Pricing & Taxes
All prices are subject to:
- Government taxes and fees
- Fuel surcharges
- Currency fluctuations
Changes to Terms
We may update these terms periodically. The current version will always be available on our website.
